Port Inspection, part of Marine Bunker Services, respects the privacy of visitors, clients and contact persons. This policy explains which personal data we process when you visit our website or contact us, why we do so and which rights you have.

2. Personal data we process

Through the request form and other contacts, we may process your name, company name, email address, telephone number, vessel name, IMO number, port or location, preferred date and time, survey type and message content. When you use the website, we also process limited technical information and cookie preferences where necessary for website operation and security.

3. Purposes and legal bases

We process your data to assess your request, communicate with you, prepare a quotation or assignment, perform an agreed survey assignment and administratively follow up our services. Processing is based on the performance or preparation of a contract, a legal obligation or our legitimate interest in sound business operations, security and responding to business requests. Where consent is required, for example for non-essential cookies, we ask for it in advance.

4. Recipients

We do not sell personal data. Data are accessible only to people who need them to handle your request or assignment and to carefully selected service providers supporting hosting, security or business communication. Where required, we make appropriate confidentiality and security arrangements with those parties.

5. Transfers outside the EEA

We aim to process personal data within the European Economic Area. If processing outside the EEA is necessary, we ensure appropriate safeguards under the GDPR, such as an adequacy decision or standard contractual clauses.

6. Retention periods

We retain contact and request data no longer than needed for the purpose for which they were collected. A request that does not lead to an assignment is retained, in principle, for no more than 24 months after last contact, unless longer retention is necessary for a legal obligation, to establish or defend a legal claim or for a specific follow-up assignment. Data forming part of an assignment or administration are retained for the period required for that purpose or under applicable law.

7. Cookies

The website uses necessary technologies for its operation, security and the storage of cookie preferences. Functional, analytics and marketing cookies are placed only when you consent. 10. Automated decisions and updates

Port Inspection does not make decisions based solely on automated processing that produce legal or similarly significant effects for you. We may update this policy when our processing or the law requires it. The current version is always available on this website.
